What does a Zoho One implementation actually involve?

Zoho One is a single licence covering forty-plus applications, at roughly the price most organisations pay for one mid-tier SaaS tool per seat. The implementation isn’t switching them on — it’s deciding which ones you genuinely need, in what order, and where the one true record for a customer, an invoice and an employee is going to live.

Rollouts fail on sequencing far more often than on software. We bring departments live one at a time, keep the outgoing system running alongside for a full billing or sales cycle, and refuse to switch on an app nobody has been given a reason to open. A suite that gets used by three teams beats a suite that gets configured for nine.

Two weeks of watching how work actually moves — including the spreadsheets and WhatsApp groups nobody mentions in the kickoff call.

CRM, Books and the shared record model first. Everything else hangs off these, so they get built and signed off before anything else starts.

Go live in waves

One department at a time, each with its own data migration, training and a named person inside the team who owns the change.

Run parallel, then cut over

A full cycle in both systems, reconciled at the end. The old system is switched off only when the numbers match.
